Privacy Policy

This policy explains what data the Anime Empire Discord bot ("the bot", "we", "us") handles, why, and what you can do about it. The bot is a private bot that operates only in the Anime Empire Discord server ("the server"). If it's added to any other server, it leaves automatically.

1. Data we access

The bot receives data from Discord when you're in the server. Depending on the feature, this includes:

• Account and member info: your Discord user ID, username, display name, avatar, roles, join date, and timeout status.
• Server tag info: whether you display the Anime Empire server tag on your profile, so the matching role can be added or removed.
• Online status: used only by a staff command that checks whether other bots in the server are online. We don't track members' activity or status.
• Message content and attachments: messages in the server's channels, so the bot can respond to commands, run automatic moderation, forward messages between specific server channels, and handle art showcases.
• Reactions: for reaction roles, polls, and staff featuring artwork.
• Voice state: whether you join or leave voice channels, for voice-chat ping prompts.

2. How we use it

• Commands and community features: role buttons, custom chatrooms, polls such as Member of the Week, leaderboards, and reposting video links shared by permitted members.
• Automatic moderation: messages are checked in real time for known scam keywords and mass image spam. Matching messages may be deleted and the sender timed out. Moderation actions are recorded in staff-only log channels in the server.
• Reverse image search: when someone runs the find command on an image, that image is sent to third-party search services (see section 4) to find its source.
• Art showcase and social media: when staff feature an image or video you posted, the bot reposts it in a showcase channel crediting you. Featured media may also be published to Anime Empire's official Instagram and X (Twitter) accounts, credited with your Discord username.

Message content is processed as it arrives. The bot does not keep a database of your messages.

3. Data we store

• Custom chatrooms: your user ID, the server ID, and the chatroom channel ID. This is deleted when the chatroom is deleted.
• Featured posts: the featured media file, your username for credit, the original message ID, and posting status. Records of completed posts are deleted automatically about 30 days after they're done.
• Polls and leaderboards: the message IDs and vote data needed to run them.
• Moderation records: staff may keep a list of banned users' IDs and usernames so the bot can spot banned users who rejoin.
• Staff log channels: moderation and command logs posted inside the server, which are kept under Discord's own retention.

Stored data is kept in a MongoDB Atlas database and on the bot's hosting server, and is only accessible to the bot and Anime Empire administrators.

4. Third parties

We never sell your data or use it for advertising. Data is shared only with these services, and only as needed to run the features above:

• Discord: the platform the bot runs on.
• MongoDB Atlas: database hosting.
• ImgBB, SerpApi (Yandex Images) and a RapidAPI reverse image search provider: receive an image only when someone runs a reverse image search on it.
• Instagram and X (Twitter): receive featured media and your username credit when your work is featured.
• Video sites such as YouTube, TikTok and Instagram: contacted to fetch a video when a permitted member reposts a link.

Each of these services has its own privacy policy.

5. Your choices and rights

• Don't want your work shared? Ask staff or email us, and we'll stop featuring your work and remove posts we control.
• Delete your data: email us with your Discord user ID and we'll delete what we store about you, apart from moderation records we need to keep the server safe.
• Leaving the server stops the bot from receiving any new data about you.
• Depending on where you live, you may also have the right to access or correct your data. Contact us to make a request.

6. Children

You must meet Discord's minimum age (13, or older where local law requires) to use Discord, the server, and the bot. We don't knowingly collect data from anyone under that age.

7. Security

We use access-controlled hosting and databases, and keep API keys secret. No system is perfectly secure, but we work to protect the data we hold.

8. Changes

We may update this policy as the bot changes. The "last updated" date at the top shows when it was last revised, and big changes will be announced in the server.
